Serviced office, coworking or office lease in Warsaw: how to choose

A serviced office or coworking space in Warsaw makes sense for teams of up to 10–15 people or a horizon under 2–3 years: you pay per desk from one month, on average 1,400–1,900 zł for a desk in a private office (Colliers, May 2026). A traditional lease is cheaper per person for larger teams on 3–5 year terms, but needs a fit-out, a deposit and a long commitment. Here is how they compare on cost, timing and flexibility.

Serviced office vs traditional lease: the difference

A serviced office is a ready office run by an operator: furniture, internet, cleaning, utilities, reception and meeting rooms in one monthly price. You pay per desk, and contracts start at one month. Coworking works the same way in a shared space, with a dedicated desk (fixed desk) or any free one (hot desk).

A traditional lease means renting space from the building owner for several years. You pay rent per m², a service charge and VAT, and organise furniture, connectivity and cleaning inside your unit yourself. In return the office is entirely yours: layout, branding, access.

Why a serviced office can cost less than it looks

Comparing monthly totals head to head is misleading. A lease needs everything a serviced office already includes: furniture, network, cleaning, electricity, kitchen, reception and meeting rooms. Above all it needs upfront money: the deposit, any fit-out above the landlord contribution, and time to get ready.

On the other hand, over 3–5 years those costs are spread across dozens of months, and landlords often give 1.5–2 rent-free months per year of lease plus a fit-out budget (Knight Frank, June 2026). The bigger the team and the longer the term, the more a lease pays off.

Flexible offices make up about 3% of Warsaw stock, roughly 235,000 m², at around 90% occupancy (Colliers, May 2026). Private suites for 20+ people in the centre are scarce, and overall vacancy in September 2026 was the lowest in six years (Knight Frank). Decide early.

What to check in a serviced office agreement

An operator agreement is shorter and simpler than a lease, but it still has clauses that decide what you actually pay.

  • Notice period and automatic renewal
  • How much the price can rise at renewal
  • Meeting room hours included and the hourly rate beyond them
  • Printing, extra access cards, visitor parking, storage
  • One-off setup fee and deposit amount
  • Whether you can move to a larger office in the same centre without a new contract
  • 24/7 access, air conditioning and weekend cleaning
  • Registered address for your company and mail handling
  • Whether prices include VAT

Hybrid options

You do not have to pick only one. These formats sit between a serviced office and a traditional lease.

  • Ready-made office (plug & play)

The building owner leases a fitted and furnished office for 1–3 years. Cheaper than serviced, faster than a classic lease.

  • Managed office

An operator fits out and runs a private office or floor for your company, for one monthly fee. Suits teams of 20–30 and up.

  • Core office plus flexible desks

A lease for the stable team, plus coworking desks for projects, growth or staff in other districts.

  • Serviced office during your fit-out

The team works from a serviced office until your own space is ready. Also a common first step when opening a Polish branch.

  • Virtual office

A registered address and mail handling without a desk, while your team works remotely.

How to decide

  1. Count people and horizon

How many people will be in the office on an average day, now and in a year, and how long you can commit.

  2. Compare the full cost

For a lease add service charge, VAT, electricity, connectivity, cleaning, furniture and the deposit; for serviced, meeting rooms beyond the package and parking.

  3. Spread the upfront costs

Divide fit-out and furniture by the months of the lease and subtract rent-free months.

  4. Test flexibility

What happens if the team doubles or shrinks: can you change the area or leave early?

Questions and answers

How much does a serviced office cost in Warsaw?

According to Colliers (May 2026), a desk in a private office averages about 1,900 zł a month in the centre and 1,400 zł outside it, and a private office for 4 in the centre about 7,600 zł. A coworking hot desk is about 1,000 zł in the centre and 700 zł outside.

Is a serviced office or a lease cheaper for 10 people?

It depends on your horizon. In our example a 100 m² lease in Służewiec costs 10,205.45 zł a month net of VAT, and a serviced office outside the centre about 14,000 zł. But the lease adds electricity, connectivity, cleaning, furniture, fit-out and a deposit. Up to 2–3 years, serviced is often no more expensive.

How long can I rent a serviced office for?

Usually from one month, though operators give better prices on 6–24 month agreements. Notice to leave is typically 1–3 months. Check how the price changes when you renew.

Can I register my company at a serviced office address?

Usually yes: serviced office operators provide a registered address, often also as a separate virtual office service. Ask the operator which documents they issue for company registration.

When should we move from a serviced office to a lease?

When your team is stable and above 15–20 people and you can commit for 3–5 years. Start looking 6–9 months ahead: good buildings have little vacant space and a fit-out takes time.

What is a managed office?

A private office or floor that an operator fits out and runs for a single company. You pay one monthly fee, as in a serviced office, but the space is yours alone and carries your branding. It suits teams of 20–30 people and up.
